If you have hundreds of items on your Recent or Assigned tab and would like to quickly navigate through the items, you can group objects by object type.

By default, this should be enabled, but there are times when it would not turn on. In that case, your items will be organized based on the selected organization mode that is dictated by the columns in the view that you are in.

If enabled, small groups will be created for all your objects based on object type:

To enable this:

1. Right click in any white space in the center Listings Area

2. Hover over “Display Mode”

3. Click on “Group Objects by Object Type”

The system will encounter PDF processing issues when uploading documents that have external electronic / digital signatures on them (e.g. Adobe Sign).

This is regardless of the Class it is filed under, because these files get encrypted by the software used to add the signature.

This is something to keep in mind when signing documents using an electronic signature application. This also applies when filing documentation received from external sources with existing electronic / digital signatures.

The best way to avoid this situation is to save a copy of the original PDF through Print to PDF:

1. Open file including the external signature

2. Hit Ctrl+P or open the print dashboard

3. Select “Microsoft Print to PDF” as the printer setting

4. Save as a flattened file on the desktop

5. Upload to SimplerQMS

If you have already filed the document and only noticed this issue once the version 1 has been approved, then the document will need to be routed for updates and re-filed using the method above.

Alternatively, the choice can be made to release in native format, but that will entail that the signatures captured inside SimplerQMS will not be added as the last page of the document, as M-Files will not process the uploaded file as a PDF – meaning no overlay either.

In the event that you encounter difficulties when attempting to create items that are within your user group access, a potential solution involves destroying your local data.

Please follow the guide below:

Before doing any of these steps, make sure that you have no documents checked out to yourself in the vault whereyou want to destroy data! (Production or Test/Training)

Then ensure to log out properly from the system by clicking on your initials up in the righthand corner and logging out:

1. Open the hidden icons [^] on your taskbar

2. Right-click on the M-Files logo

3. Hover over Settings and click on M-Files Desktop Settings

4. Click on the Settings tab

5. Then on Computer-Specific Settings

6. This might ask for admin rights, click Yes

Note: if you have admin control on your laptop you might not be able to do this without the person controlling it

7. Click on Destroy Local Data

8. Click on the production vault

9. Then click Destroy

If the destroy button is greyed out, you need to first log out of SimplerQMS

10. Click Yes

Exit all the windows and try logging into the production vault again

This article describes what needs to be done if an organization changes it’s domain name – fx from orgA.com to orgB.com. This will have an impact on the user accounts because a user’s account name will change from user@orgA.com to user@orgB.com.

Depending on how the organization’s Entra ID (Active Directory) is set-up, SimplerQMS might need to do a manual mapping from the ‘old’ account name to the ‘new’ account name. In some cases this is not necessary and the update of the domain will take place automatically. In either case, the users data will remain accessible and will not notice any difference – other than having to use another user account to login. This means that all historic records are still available after switching to the new domain.

Please be aware that the SimplerQMS “DNS address” for your organization will NOT change when you switch to a new domain. Example:

DNS address before change: company123.cloudvault.m-files.com

DNS address after change: company123.cloudvault.m-files.com

Preparation Steps

To prepare for this change before it is implemented in your organization’s Entra ID, please email a list of user accounts that will be changing along with the date and time of effectivity to SimplerQMS Support.

Example:

Effectivity Date and Time: Monday, 13th of December 2022 at 2:00 PM

Old Account NameNew Account Name
john@orgA.comjohn@orgB.com
jane@orgA.comjane@orgB.com
joe@orgA.comjoe@orgB.com

Please email this list at least one week in advance of the change being implemented.

New Entra ID Tenant

If your organization is switching to a new Entra ID Tenant, then a few more steps need to be completed. If you are keeping your current Tenant, then please disregard this section.

In the new Tenant, the following steps need to be completed:

  1. The SimplerQMS User Groups should be created. Please name these groups so it’s possible to distinguish the “Old” groups from the “New” groups. Example:
    • Old group name: SEC_M-Files_All_Contributors
    • New group name: SEC-NEW_M-Files_All_contributors
  2. Assign the relevant users to the new groups
  3. Make sure that at least one Entra ID Premium P1 License is available and assigned to a user
  4. Arrange a meeting with SimplerQMS to set-up the SimplerQMS Enterprise Application in the new Tenant
  5. Agree with SimplerQMS about when the cut-over to the new Tenant will take place

Login Names

After you made the switch to the new domain, users need to use their new login name, when logging into SimplerQMS.

Be aware that some users might have their old login names stored/cached in Windows. This could mean that the login prompt might suggest the user to use the old login name instead of the new one.

Please be sure to contact support@simplerqms.com well ahead of any changes to your domain or Entra ID. In this way we can plan for the change and make sure that your users will experience a smooth transition.

You can set your M-Files Desktop users to be logged out automatically. To enable this functionality, edit the Windows registry settings given in this section on the computer on which M-Files Desktop is used.

3.1 Important Remarks

The timer is reset continuously if the client computer has a document opened in a program (for example Microsoft Word). The automatic logout occurs, for example, if:

• The document is checked out but not opened in a program.

• The user is editing the metadata card of an object.

If you want to set the automatic logout to occur when the client computer has documents opened in read-only mode, also add the registry setting IgnoreOpenReadonlyHandlesOnAutoLogout in the client computer.

3.2 Registry Settings

Add or change this setting to enable automatic logout in M-Files Desktop:
