You can make the eTMF structure in SimplerQMS very detailed or you can build a simple structure. This depends on your needs.

Metadata and files/documents can be exported from SimplerQMS but before exporting, we recommend organizing and adding the relevant columns to capture in your exported CSV file.

To add new columns:

1. Right click on the top line in the view (with the different columns) and then click on the Choose Columns… option

2. Once clicked, there will be a long list of properties to choose from. Pro tip: hit the key for the starting letter of the property you are looking for, so it takes you to the right letter of the alphabet, so your search is shorter.

3. This column will now be added to the end of the columns on the view

4. Just like in File Explorer in Windows, you can use these columns to organize the data in the system. Just single click on the column you wish to use for organization and your metadata will be structured according to the selection. Which column is selected for organization will be indicated by the little arrow next to the text. Pointing down means descending, pointing up means ascending. You may also drag the columns to re-position them accordingly.

From here you can now export the Metadata and files/documents by following these steps:

I. Search for documents, which should be included in the export

a. To export a file, go to File (click the ALT button) and choose Export. You can also highlight multiple files and export them at the same time.

b. To export all current documents, go to Main Views then right click on ALL DOCUMENTS. Choose Export.

c. To export all archived and retired documents, go to Main Views then right click on All Archived and Retired Documents. Choose Export.

II. Export documents, which are displayed in a view

a. Once you click on Export, the following windows appear.

Tick boxes applicable to your requirements.

III. Click OK to complete the export.

IV. The metadata now be available as a CSV file with references to all the documents which are exported to one or more folders.

Note: Documents can also be exported by different ways available under Main Views then ALL DOCUMENTS, just follow the basic steps described above.

How do SimplerQMS licenses work?

Renewal of licenses

Licenses will be renewed automatically based on the terms and conditions in your contract

This requires no additional actions from your side, unless you have changes to the number of licenses in your subscription – if so, reach out to us in due time

What kind of licenses does SimperQMS offer?
  • A Named User license is a Personal User license, reserved for a specific user. It is ideal for “heavy-users” that need daily editor access.
  • A Concurrent User license can be shared by multiple users, however, it can only be used by one user at a time. It is a perfect solution for “light-users” that only occasionally need editor access.
  • A Read & Sign user license is a Personal User license that allows for reading and signing documents. It also allows for signing Read & Understood training activities.

Add additional licenses

You can, at any time, buy additional licenses to your subscription. Your subscription period is always a year (365 days) and your renewal date is usually based on your contract signing date.

Additional licenses are prorated, so you only pay for the period you have the licenses for.

Example:

  • You buy a new named license with delivery date on 15 March
  • Your subscription period: 1 June to 31 May (i.e. your renewal date is 1 June)
  • From 15 March to 31 May is 79 days (21,6% of a year)
  • You will be invoiced 21,6% of a full year license price, hence you only pay for the period you have the licenses for

The next renewal invoice will cover all existing and new licenses for the following full license year to avoid licenses with different renewal dates.

To order more licenses, write to support@simplerqms.com with the following info:
  • Subject in email: Additional licenses
  • License type
  • Number of additional licenses
  • Delivery date (or ASAP – it takes a few workdays to deliver the licenses)
  • User names (who should be (re)-assigned to the new licenses)

Reduce number of licenses

License reductions can only take effect from your renewal date for the following subscription period.

Your subscription period is always a year (365 days) and your renewal date is usually based on your contract signing date.

Remember to inform us about license reductions in due time (see you contract terms).

Example:

  • You want to reduce you subscription with one named license
  • Your subscription period: 1 June to 31 May (i.e. your renewal date is 1 June)
  • Your subscription will then be reduced with one named license from 1 June

The next renewal invoice will reflect the reduced number of licenses for the following license year.

To reduce the number of licenses, write to support@simplerqms.com with the following info:
  • Subject in email: Remove licenses
  • License type
  • Number of licenses to be reduced
  • User names (who should be re-assigned or have licenses removed)

Convert between licenses

Converting between named, concurrent or read licenses can be done at any time in your subscription period without a cost if the new total subscription cost (Net ARR) is the same or higher than the current period’s total subscription cost before conversion.

Example:

  • You have 10 named licenses, and you would like to convert 1 Named to 10 Read licenses on 20 April (delivery day).
  • The total cost of the 9 Named and 10 Read licenses is the same as the total cost of the original 10 named licenses.
  • You will then have 9 Named and 10 Read licenses on 20 April.

Example:

  • You have 5 Named and 3 Concurrent licenses and you would like to convert 1 Concurrent to 5 Named licenses on 20 April (delivery day).
  • The total cost of the 10 Named and 2 Concurrent licenses is higher than the total cost of the original 5 Named and 3 Concurrent licenses.
  • You will then have 10 Named and 2 Concurrent licenses on 20 April.

The next renewal invoice will reflect the changed number of licenses for the following license year.

To convert licenses, write to support@simplerqms.com with the following info:
  • Subject in email: Convert licenses
  • Type of licenses for conversion
  • Number of licenses to be converted
  • Delivery date (or ASAP – it takes a few working days to convert the licenses)
  • Usernames (who should be re-assigned)
